100% System of Cleanliness Vs 5S System

system of cleanlinessThe 100 Percent Cleanliness System vs 5S, is the difference between auditing yourself minute-by-minute, and an Auditor checking behind you, indiscriminately. From our experience in coaching small business owners, workplace housekeeping is a major frustration. Simply stated, clutter in the workplace causes stress and lost productivity. Chaos!

The reason for poor housekeeping in small businesses is, they simply don’t have a SYSTEM for cleaning.

With a housekeeping system in place, a business receives immediate attention and positive feedback from clients and others. It is the first thing people will see when they enter a place of business. As a result, visitors get a lasting impression of the business and how it operates, when seeing it for the first time.

What is the 100 Percent Cleanliness System?

Every item used in a business, for production or service, should have a designated place that is conveniently located. And items should be in their designated location when not in use. To be clear, not just some items, but EVERY item needs a place. This, in a nutshell, is the 100 Percent Cleanliness System Policy!

The 100 Percent Cleanliness System uses a section on an employee’s Daily Routine Checklist to prompt them to keep ALL items in their designated location. Again, not 70 or 80%, but 100% of all items are in their designated place when not in use. Therefore, the system remains at a 100%.

In addition, the designated location is permanent, clean and clearly labeled.

100 Percent Cleanliness System reduces waste by speeding up production and service, by ensuring all items used for work are readily available to the employee.

Using a control checklist, the workers will audit themselves to ensure compliance. Therefore, keeping the system up to standards, or at 100%.

What is the 5S System?

5S system = Sort, Straighten, Shine, Standardize, and Sustain; also known as Lean Management. This is a workplace organization methodology for good housekeeping and improving production and service. In other words, by having ALL items used in production and service readily available to the workforce, it increases speed. In other words, you save time by reducing the number of literal steps, to locate an item for use in production.

The 5S system uses Auditors that use unannounced inspections to ensure the system is in compliance. The employee must be responsible to remember to keep items in their place.

Summarizing the Differences Between the Two Systems

As with all systems, SUSTAINING them is a big challenge, especially for most small businesses. In fact, over 98% of Lean Management 5S systems fail.

Therefore, we’ve found that having the employee prompted by a Daily Routine Checklist, versus spot-checking by an unannounced auditor, sustains the 100 Percent Cleanliness System.

Although no longer the owner of that company, the 100% system still operated until 2016.

Please overlook his not-so-slick delivery and the Retro hairdo on this video. As a result, you’ll realize the message and the 100% System of Cleanliness is as relevant today as it was the day he implemented it.
